Responsibilities
Responsible for screening all visitors to Charter House and assist them in determining where they need to be as well as announce their arrival to the appropriate resident or staff contact. Denies access to unauthorized visitors and handles difficult situations arising from the denial including securing assistance if needed. Answers and directs all incoming telephone calls. Responsible for sorting all incoming mail, packages, and deliveries. Maintains inventory of wheelchairs & carts for residents and visitors. Provides information assistance to residents and visitors regarding Charter House, Mayo Clinic, and Rochester locations and services. Responds to all emergency situations (security, fire, weather, alarms, resident e-calls) by following established protocols. Performs administrative/clerical duties including but not limited to maintaining reference materials (telephone & resource lists), using pager system, printing/copying/mailing, and other support tasks for Charter House department programs and activities.
Qualifications
Requires a high school diploma or high school equivalent (GED).
Formal vocational training in a secretarial or computer training course is preferred.
- Work experience in a clerical or secretarial position is preferred;
- Must possess proficiency on technical office equipment, including a computer and/or word processor, printer, telephone switchboard system, copier/scanner, fax machine or any other job specific office technology;
- Requires clerical aptitude and an understanding of office practices including filing techniques, handling mail, preparation of charts, minutes, spreadsheets, reports and/or other job specific documents;
- Must possess strong customer service skills which include good written and oral communication skills which contribute to a cooperative and productive atmosphere;
- Must be able to work independently as job requires the ability to multi-task, prioritize, problem-solve, and display good judgment;
- Must maintain strict confidentiality of information and exhibit good human relations skills, including the ability to work collaboratively and professionally to build rapport with others at all levels of responsibility;
- Must be adaptable/flexible in a changing work environment which requires working different shifts;
- Must be willing to learn new things and continually upgrade skills.
